1. Purpose and Scope

1.1 This Cancellation and Refund Policy ("Policy") describes the terms on which a User ("you") may cancel or modify a Booking made through Instareservation.com, operated by Hydra Travels Inc. ("Instareservation", "we", "us", or "our"), and the basis on which refunds are processed.

1.2 This Policy applies to all Bookings made through the website and mobile application and should be read together with the Terms and Conditions and the Fulfilment Policy.

1.3 Cancellation and refund terms are ultimately determined by the rate type selected at the time of Booking and, in certain respects, by the individual policy of the relevant Hotel Partner, which will be clearly displayed before payment is completed.

2. Rate Types and Cancellation Terms

2.1 Every Booking on the Platform falls into one of the rate categories described below.

2.2 The specific cancellation deadline, cut-off time, and any charge applicable to a Booking are stated on the Booking Confirmation and remain binding once the Booking is completed.

3. How to Cancel a Booking

3.1 A Booking may be cancelled through any of the following methods.

• (a) Logging into the Account and selecting "Cancel Booking" against the relevant reservation.
• (b) Using the cancellation link provided in the Booking Confirmation email.
• (c) Contacting customer support with the Booking reference number.

3.2 A cancellation is effective from the date and time it is submitted through the Platform or confirmed by customer support, not from the date of any earlier communication of intent to cancel.

3.3 Upon cancellation, a cancellation confirmation will be issued to the User, confirming the applicable refund amount, if any.

4. Cancellation Deadlines and Time Zone

4.1 Cancellation deadlines are calculated based on the local time zone of the relevant property, unless otherwise stated on the Booking Confirmation.

4.2 A cancellation submitted after the stated deadline, even by a short margin, will be treated as a late cancellation and processed in accordance with the applicable rate type, without exception, save as described in Section 11.

5. Refund Eligibility Matrix

5.1 The table below summarises refund eligibility across common cancellation scenarios.

6. Refund Processing Timeline

6.1 Approved refunds are processed in accordance with the timeline below.

6.2 Refunds are issued only to the original payment method used at the time of Booking. We are unable to issue refunds to a different card, account, or third party.

6.3 Where a Booking was paid using Platform credit or a promotional code, the refunded value will first be applied to reinstate the credit or code, to the extent used, before any residual amount is refunded to the original payment method.

7. Partial Cancellations and Group Bookings

7.1 For a Booking covering multiple rooms or multiple nights, a User may cancel a portion of the Booking, subject to availability of partial cancellation on the Platform for that reservation.

7.2 Each room or night cancelled is treated independently for the purposes of calculating the applicable refund, based on the rate type applicable to that portion of the Booking.

7.3 Group Bookings of ten (10) or more rooms are subject to the separate cancellation and deposit terms communicated at the time of booking, which may include a longer notice period and a non-refundable deposit.

8. Modification versus Cancellation

8.1 A modification, such as a change of dates or room type, is treated as a new Booking request against current availability and pricing, and does not by itself entitle the User to a refund of any price difference where the new rate is lower, unless expressly stated.

8.2 Where a modification is not available or not accepted by the Hotel Partner, the User may instead cancel the original Booking, subject to the applicable cancellation terms, and make a new Booking separately.

9. No-Show Policy

9.1 Failure to arrive on the scheduled check-in date, without prior cancellation or modification, constitutes a "No-Show" and will typically result in forfeiture of the full Booking amount, or the first night's charge, at the discretion of the Hotel Partner.

9.2 For a multi-night Booking, a No-Show on the first night may result in automatic cancellation of the remaining nights by the Hotel Partner, without further refund.

10. Early Checkout

10.1 Where a User checks out earlier than the confirmed departure date, no refund is due for unused nights, except where the Hotel Partner, at its sole discretion, agrees to waive the remaining charge.

10.2 Requests for early checkout adjustments should be raised directly with the Hotel Partner at the property, and any approved adjustment will be communicated to Instareservation for processing.

11. Force Majeure and Exceptional Circumstances

11.1 Where a Booking cannot be used due to a force majeure event, including natural disaster, epidemic or pandemic, war, or government-imposed travel restriction directly affecting the destination or the User's ability to travel, we will work with the Hotel Partner to offer one of the following, where reasonably available.

• A full or partial refund, notwithstanding the standard rate conditions.
• A rebooking voucher or Platform credit valid for a specified future period.
• A date change without penalty, subject to availability.

11.2 Relief under this Section is granted at the discretion of the Hotel Partner and Instareservation, based on the nature and scope of the event, and is not an automatic entitlement.

12. Refunds for Fulfilment Failures

12.1 Where a Booking is not honoured due to a fulfilment failure attributable to the Hotel Partner, including overbooking or property closure, the User is entitled to a full refund or comparable alternative accommodation, as further described in the Fulfilment Policy.

13. Payment Method-Specific Notes

13.1 Refund mechanics vary slightly depending on the payment method used, as summarised below.

14. Disputes and Chargebacks

14.1 Users who believe a refund has been incorrectly calculated or delayed beyond the timelines in Section 6 should raise the matter with customer support before initiating a chargeback with their card issuer.

14.2 Initiating a chargeback while a refund request is under active review may delay resolution and result in temporary suspension of the associated Account pending investigation.

15. Acknowledgement of Non-Refundable Rates

15.1 By completing a Booking under a Non-Refundable rate, the User expressly acknowledges and accepts that no refund will be available upon cancellation, except as described in Section 11 or where required by applicable law.

16. Changes to this Policy

16.1 We may revise this Policy from time to time. Bookings already confirmed will continue to be governed by the cancellation terms in effect, and displayed on the Booking Confirmation, at the time the Booking was made.

17. Refunds Involving Currency Conversion

17.1 Where a Booking was paid in a currency different from the User's card billing currency, the refunded amount is converted back by the card issuer or payment processor at the prevailing exchange rate on the date of refund, which may differ from the rate applied at the time of Booking.

17.2 We are not responsible for any variance between the original charged amount and the refunded amount arising solely from currency fluctuation or card issuer conversion fees.
