This Fulfilment Policy describes how Hydra Travels Inc., operating Instareservation.com, processes, confirms, and delivers Bookings made through the Platform.

1. Purpose and Scope

1.1 This Fulfilment Policy ("Policy") describes how Hydra Travels Inc., operating Instareservation.com ("Instareservation", "we", "us", or "our"), processes, confirms, and delivers Bookings made through the Platform.

1.2 This Policy applies to all reservations for accommodation and ancillary services booked through the website and mobile application (each, a "Booking"), and should be read together with the Terms and Conditions.

1.3 "Fulfilment" refers to the process by which a Booking request is confirmed with the relevant Hotel Partner and a Booking Confirmation is issued to the User; it does not refer to the physical delivery of a product.

2. Nature of the Service Fulfilled

2.1 We do not fulfil accommodation itself. We fulfil the reservation transaction: verifying availability, processing payment, and issuing a Booking Confirmation on behalf of, or as agent for, the Hotel Partner.

2.2 Actual provision of accommodation, check-in, and on-property services is fulfilled directly by the Hotel Partner at the property, in accordance with its own operational standards.

3. Booking Confirmation Process

3.1 Fulfilment of a Booking follows the sequence below.

3.2 A Booking is fulfilled, and becomes binding, only upon issuance of a Booking Confirmation. A pending payment authorisation or a submitted request does not, by itself, constitute a fulfilled Booking.

3.3 For properties marked "Instant Confirmation," fulfilment occurs at the time of Booking. For properties marked "On Request," fulfilment is subject to the Hotel Partner's acceptance within the stated window, failing which the Booking will be declined and any payment collected will be refunded in full.

4. Delivery of the Booking Confirmation

4.1 The Booking Confirmation, serving as proof of reservation, is delivered electronically through the following channels.

Email to the address provided at the time of Booking.
In-app notification and Account dashboard, where the User is registered.
SMS notification, where a valid mobile number is provided and SMS delivery is enabled in the User's region.

4.2 Users are responsible for providing accurate contact details to ensure delivery of the Booking Confirmation. We are not liable for non-delivery caused by an incorrect email address or mobile number provided by the User.

4.3 The Booking Confirmation must be presented, physically or electronically, at check-in, together with valid identification, as may be required by the Hotel Partner.

5. Payment Fulfilment

5.1 Where full pre-payment is required, funds are captured at the time of Booking and remitted to the Hotel Partner in accordance with our commercial arrangement with that Hotel Partner.

5.2 Where a Booking is designated "Pay at Hotel," no payment is collected at the time of Booking, and settlement is fulfilled directly between the User and the Hotel Partner at check-in or check-out.

5.3 A valid payment card may be pre-authorised, without capture, to guarantee certain Bookings. Pre-authorisation holds are released automatically by the card issuer within the issuer's standard timeframe if not captured.

6. Fulfilment Failures and Non-Availability

6.1 In rare instances, a Hotel Partner may be unable to honour a confirmed Booking due to overbooking, property closure, or unforeseen circumstances. In such cases, we will use reasonable efforts to do the following.

Notify the affected User as soon as reasonably possible.
Arrange comparable alternative accommodation, where available, at no additional cost.
Issue a full refund of amounts paid to us, where alternative accommodation is not accepted or available.

6.2 We are not liable for indirect losses arising from a fulfilment failure attributable to a Hotel Partner, beyond the remedies described in Section 6.1.

7. Cancellation and Refund Fulfilment

7.1 Approved refunds are fulfilled to the original payment method. Processing timelines are set out below.

7.2 Fulfilment of a refund is complete once we initiate the transfer to the payment processor. Any further delay in the funds reflecting in the User's account is determined by the User's bank and is beyond our control.

8. Status Communication

8.1 Users may track the fulfilment status of a Booking, including "Confirmed," "Pending," "Cancelled," or "Refund Initiated," through the Account dashboard at any time.

8.2 Material updates to fulfilment status will be communicated through the channels listed in Section 4.1.

9. Grievances Relating to Fulfilment

9.1 A User who does not receive a Booking Confirmation, or who experiences a fulfilment failure, should contact customer support within 24 hours of the expected confirmation time for prompt resolution.

9.2 Complaints will be acknowledged within 5 business days and resolved within 30 days, in accordance with the grievance redressal process set out in the Terms and Conditions.
